Moonshine Cove Yacht Club Board Report to Members – July 1, 2026

The past year has been relatively quiet but productive. Your board has overseen a number of important initiatives, including the following:

Major Policy & Governance Accomplishments

  • Guest Policy Simplification: Streamlined the club’s Guest Policy to provide clearer guidance and greater operational flexibility for members, while maintaining rigorous safeguards for the responsible use of shared facilities.

  • Pick-Up and Drop-Off Policy: Established a formal policy framework to permit and regulate

  • third-party commercial or private vessels picking up or dropping off members and their guests.

  • Comprehensive FAQ: Developed and published a targeted FAQ document to resolve common questions regarding the new guest and drop-off protocols.

  • Fee Schedule Standardization: Centralized all club and marina charges into a single, transparent Fee Schedule.

Strategic Note: During this consolidation, the Board identified an inequity in a legacy, seldom-used fee structure that disproportionately favored larger vessels. Because no members currently utilize this

specific billing method (largely due to low awareness), the Board will monitor its usage. If adoption

begins, the methodology will be restructured to ensure equitable benefit for all members, regardless

of boat size.

Dock Operations & Infrastructure

  • Security & Camera System Review: Following a vessel theft at the marina, our security footage successfully identified the suspect, leading to an arrest by law enforcement. A

  • subsequent third-party technology audit confirmed that while the system is not perfect, it remains operationally viable and does not require immediate replacement.

  • Outer Dock Infrastructure: Successfully replaced a degraded section of the outer dock. The original floats were salvaged and preserved in inventory, which will significantly offset capital expenditure when the next section requires replacement (projected in 5–10 years).

  • Asset Optimization: Removed the underutilized kayak rack and rollers, which members found ineffective. The rack was sold to recoup a portion of the asset value, though it did not fully recover the initial investment.

Systems & Technology

  • Digital Infrastructure Redesign: Rebuilt the club’s website from the ground up,

  • significantly improving navigation and simplifying member access to essential forms, bylaws, and governance documents.

  • Software Rationalization: Cancelled the Nautilus software contract, securing an annual

  • recurring saving of $4,000. An internal audit revealed the club was only utilizing a fraction of the platform's functional capacity.

  • Non-Profit Technology Grants: Successfully registered the club with TechSoup (the

  • procurement network for non-profit entities). This has unlocked subsidized access to

  • enterprise digital services, including Microsoft cloud solutions, reducing our operational

  • costs for remote governance and conference-calling.

Social & Community

  • Annual Summer Barbeque: Hosted our third consecutive Annual Summer Barbeque, which continues to be a cornerstone community event. The Board extends its sincere thanks to MICS for generously providing the essential tables and tents.

Financial Management & Foresight

  • Waterfront Lease Status: The formal reassessment and renewal of our provincial waterfront lease remains stalled. The Board has learned that bureaucratic vacancies within the ministry have paused all active reassessments. Consequently, we continue to pay our historical lease rate annually.

  • Fiscal Mitigation Strategy: While a substantial rate hike is anticipated upon renewal, current guidance suggests the lease will likely not be finalized until there is a shift in provincial administration. To protect the club from retroactive adjustments or sudden operational spikes, the Board has adopted a highly conservative fiscal stance:

  • We maintain an active reserve of $ 228,991.00 specifically earmarked to absorb future lease increases.

  • We hold $135,083.34 securely positioned in Guaranteed Investment Certificates (GICs) to generate low-risk yield.

  • Because the expected lease inflation has not yet hit our cash flows and taking into account the recent proactive dues adjustment, the club remains in a strong, well-capitalized position to weather future structural costs.

Board Acknowledgments & Expressions of Thanks

The Board of Directors would like to extend its sincere gratitude to the following members, whose volunteer efforts, leadership, and hard work over the past year have directly contributed to the success, security, and upkeep of our club:

  • Laura Eagan: For her outstanding leadership as Chair of the Guest Policy Committee, Laura drove the initiative across the finish line, delivering the modern, flexible Guest Policy that now benefits our entire membership. She even followed this up with an FAQ to help members ensure that they understand the policies.

  • Nigel Stoodley: For leading the systems and technology efforts, including digital infrastructure design, software rationalization and registration with Tech Soup.

  • Jim Bonneville: For stepping up to take the lead on the sale of the retired kayak rack, ensuring the club successfully liquidated the asset and recovered some value.

  • Frank Byl: For his vital technical stewardship in managing our new Microsoft office backend infrastructure. His ongoing oversight has significantly enhanced the Board's communication capabilities and member collaboration.

  • Alex Hoffman: For his dedicated oversight of our dock maintenance program and his

  • flawless coordination of the outer dock section replacement project.

  • Rich Brooks, Glen Verheul, Paul Grubb and Mike Jakobsen: For their stellar community initiative in repairing and stabilizing the main access road leading to the marina and creating drainage that should help avoid some of the previous pothole issues.

  • Laura Sheldon and Susanne Jakobsen: For selflessly stepping into the essential, and

  • often thankless role of Wharfinger. Their daily diligence keeps our docks organized, safe,

  • and running smoothly for everyone.

Our club runs on the energy of its volunteers, and Moonshine Cove is a better place

because of each of you. Thank you!
